Through a voter-approved tobacco tax, First 5 promotes optimal child development through investments in health, early learning and family resiliency. Catalysts for systemic change, First 5 Sonoma County partners with school districts, the early care and education sector, the health care system, community leaders, the private sector and social service agencies. By working through partners with a focus on prevention, we are able to maximize our collective impact and cost-effectiveness, and leverage community resources with federal, state and grant dollars.</p><p>Our office is located in Santa Rosa, CA. </p><h3><strong>Summary</strong></h3><p>The <strong>Program Coordinator</strong> provides critical administrative support to First 5 Sonoma County staff and Commissioners to ensure transparent, fair and statutorily compliant implementation of governance processes including strategic planning, competitive procurement and convening of public Commission meetings, contract procurement. In addition, this position provides support to funded partners and stakeholder to ensure access to resources, information, training and events that promote and elevate the importance of early childhood development, child health, and resilience and well-being of Sonoma County’s children and families. </p><h3><strong>Essential Duties & Responsibilities</strong></h3><p>Duties may include but are not limited to the following:</p><p><strong>Staff Support</strong></p><ul>
<li>Liaison with First 5 California to ensure compliance with required annual reporting of services, expenditures, demographics</li>
<li>Liaison with First 5 Association to ensure alignment with statewide framework and network strategy</li>
<li>Support development of Requests for Proposals, Applications and/or Qualifications (RFP/RFA/RFQ) and management of service procurement processes</li>
<li>Support the initial development of new contracts and community initiatives</li>
<li>Support accurate tracking, documentation and record-keeping</li>
</ul><h3><strong>Funded Program Partners</strong></h3><ul>
<li>Gather and disseminate relevant resources on leading practices related to grant goals</li>
<li>Facilitate connections, program promotion and referral for all grant-related services through regular on-site visits, information sharing, and educating agency staff</li>
<li>Assist subcontractors to modify budgets and/or scope of work to support successful delivery of subcontracted activities</li>
<li>Support partner agencies with the deployment of practices and methods that are culturally and linguistically responsive to BIPOC and immigrant children and families</li>
</ul><h3><strong>Community Resources</strong></h3><ul>
<li>Coordinate updating, formatting and dissemination of First 5 Sonoma County Parent Resource Guide</li>
<li>Contribute to the development and dissemination of social media, website content and other communications mechanisms</li>
<li>Coordinate distribution of supplies to community partners</li>
</ul><h3><strong>Stakeholder Engagement</strong></h3><ul>
<li>Coordinate workshops and training events, including organization of logistics, speakers, materials, event promotion, etc.</li>
<li>Convene and facilitate meetings attended by a variety of stakeholders including private citizens, parents, agency staff and managers</li>
<li>Support logistics, create agendas, and prepare minutes for stakeholder engagement meetings</li>
<li>Work with staff and consultants to organize and gather community and stakeholder input through surveys, focus groups and other mechanisms</li>
<li>Serve on external committees, as assigned</li>
<li>Participate in relevant local and state trainings and workshops</li>
<li>Respond promptly to requests of internal and external clients; provide needed information, assistance, training, materials and resources</li>
</ul><h3><strong>Budgetary/Supervisory Responsibilities</strong></h3><p>This position does not have agency budgetary oversight and does not have supervision of direct reports.</p><h3><strong>Required Experience & Education</strong></h3><ul>
<li>Fluency in Spanish (reading/writing/speaking) required</li>
<li>Minimum three years administrative experience in a public or government agency, related to education, health, social services, criminal justice, community development, or other relevant field.</li>
<li>Bachelor's degree preferred</li>

<li>Regularly required to talk and hear, stand, walk, bend, kneel, and crouch.</li>
<li>Work is occasionally physical, requiring setting up for meetings, lifting or carrying cumbersome materials of up to 25 pounds, e.g., easels, flip charts, refreshments, brochures, etc.<strong> </strong>

<li>This job primary operates in a hybrid remote/professional office environment.</li>
<li>Some travel to attend various meetings, depending on restrictions related to COVID-19 mitigation.</li>
